Team Management

Add team members, set permissions, and assign bookings across your crew.

Adding Team Members

Go to Dashboard → Team and click Add team member. Enter their name, email address, and phone number. You can also assign a calendar color so their bookings are easy to identify on the schedule view.

If the team member has their own QuoteLab account, you can link it by entering their email address. They will be able to log in and see only the bookings and information their role allows. If they do not have an account, they will still appear on your calendar and can be assigned to bookings.

The number of team members you can add depends on your plan. Free plans include one team member (the owner). Pro plans allow up to three, and Business plans and above support unlimited team members.

Roles & Permissions

Each team member is assigned a role that controls what they can see and do in the dashboard and mobile app. There are three roles:

RolePermissions
OwnerFull access to everything including billing, Stripe settings, plan management, team management, analytics, and deleting the business account. Only one owner per business.
AdminAccess to all features except billing, plan changes, and deleting the business. Can manage services, pricing, bookings, customers, team members, and settings.
Team memberView their own assigned bookings, update job status (start, complete, no-show), upload before and after photos, view customer notes for assigned bookings, and add internal notes. Cannot access billing, analytics, pricing, or other team member schedules.

Assigning Bookings

When creating or editing a booking from the dashboard, you can assign it to a specific team member using the Assign to dropdown. The assigned team member will see the booking on their personal schedule in the mobile app and receive push notifications about it.

If no team member is assigned, the booking appears on the general schedule and is visible to the owner and all admins. You can reassign bookings at any time by editing the booking and selecting a different team member.

On the calendar view, each team member's bookings are shown in their assigned color. Use the filter dropdown to view a single team member's schedule or the combined view of all members.

Calendar Colors

Each team member can be assigned a unique color that appears on the booking calendar. This makes it easy to see at a glance who is handling which appointment. To change a team member's color, go to Team → Edit and select a new color from the palette.

Team Performance Analytics

Business+ Plan

On Business and Enterprise plans, the analytics dashboard includes a Team tab that shows performance metrics for each team member. You can compare total bookings completed, revenue generated, average customer rating, on-time rate, and average job duration across your team.

Use these insights to identify top performers, balance workloads, and provide feedback. All metrics are based on bookings where the team member was the assigned team member.

Deactivating Team Members

If a team member leaves your business, you can deactivate their profile from Team → Edit → Deactivate. Deactivated members no longer appear in the assignment dropdown and cannot log in. Their past bookings and performance data are preserved for your records. You can reactivate a team member at any time.

Mobile App for Your Team

Team members with linked accounts can download the QuoteLab mobile app and log in with their email. They will see a simplified view showing only their assigned bookings for the day, customer details and notes for those bookings, and the ability to start jobs, capture photos, and mark jobs as complete. Push notifications alert them to new assignments, upcoming appointments, and schedule changes.
